Terms & Conditions – Conferences & Events (DoubleTree London Ealing): Your contract includes these core terms, with flexibility welcome if required. After reviewing, please return your signed contract within three days to secure your booking, which remains provisional until we receive it. Full payment is due within 14 days of invoicing; late or missed payments may result in cancellation or rate adjustments. Changes must be submitted in writing at least 5 business days before your event and may impact pricing. Prices are in GBP, include VAT, and reflect the minimum spend or number of attendees, whichever is higher. If credit is needed for events over £500, you may apply no later than 21 days before and must provide trade references; otherwise, strict deposit milestones apply (25% upon contract, 50% at 12 weeks prior, balance 28 days ahead). Cancellation fees—based on notice period—are 25% (over 12 weeks), 75% (12–4 weeks), or 100% (within 4 weeks) of the booking value. The hotel reserves the right to cancel for operational, reputational, or financial reasons, or due to force majeure. You must follow hotel guidelines for entertainment, behaviour, health & safety, and indemnify them against damage or third-party actions. Liability is limited to the amount paid, excluding cases of personal injury or gross negligence. Governing law is that of England and Wales, and the contract constitutes the entire agreement.

For Instant Book, a Moderate Cancellation Policy offers the following:
  • Guests can cancel up to 15 days before the event for a full refund.
  • If cancellation occurs between 14 – 8 days before the event, a 50% refund is given.
  • No refund and full charges apply if cancelled within 7 days of the event.
