The booking is confirmed as soon as you confirm the booking online.
Final numbers
the chargeable numbers are as detailed on the booking form. 14 days prior to the arrival date the booker/ company will need to provide an update on numbers. itf the numbers dall or rise by more than 10% we may need to provide alternative accommodation and space of an appropriate size.
The below policy will apply
Days prior to date of arrival Cancellation percentage of revenue
Between 90 and 180 Days 10% of the total booking value
Between 28 and 90 Days 25% of the total booking value
Between 14 and 28 Days 75% of the total booking value
Less than 14 Days 100% of the total booking value
If delegates/guests don’t arrive or leave early then a 100% cancellation charge will apply.
Either party can cancel the event in the following circumstances:
1. The other party enters any type of insolvency proceedings
2. The other party fails to abide by the terms of the contract
3. If there is government instructed restriction which prevents the hotel from operating, or business travel restrictions prevents the company delegates from safely committing to their scheduled meeting, the booking can be rescheduled for a mutually convenient time within a 12-month period with no charges. Please note that transferred reservations will be subject to availability and any rate differences and are only available on a one-time basis.
4. If the hotel is prevented or hindered from hosting the event by any circumstance beyond its reasonable control it may, without being liable for any loss or damage suffered by the client or anyone else, re-locate the event to another venue in the same locality, or terminate the contract forthwith by giving notice.
5. The hotel may cancel your booking and terminate the contract if it reasonably believes the booking/attendees or nature of the event may cause public disorder or damage its reputation.

What payment terms apply?
If the client has credit arranged with the hotel then the terms of that agreement govern their payment obligations. Any account queries should be notified within 5 working days of receiving the invoice. If the hotel cannot resolve this immediately, they will ask that the balance of your account minus the query value whilst it is resolved. Payment terms are 21 days from date of invoice. Should payment become overdue The Hotel shall have the right to charge interest at either the rate of 4% above the Hotel’s Bank base rate from time to time or Under the Late Payment of Commercial Debts (Interest) Act 1998.
If there is no credit facility full payment is required prior to 30 days before the event start date.

Cancellation Policy

For Instant Book, a Moderate Cancellation Policy offers the following:

Guests can cancel up to 15 days before the event for a full refund.
If cancellation occurs between 14 – 8 days before the event, a 50% refund is given.
No refund and full charges apply if cancelled within 7 days of the event.
